Accidents

If you're involved in an accident, always contact the fleet manager. Use the table below to find your first point of contact.

  1. Stop immediately and prevent further collision or damage.
  2. If off-site, notify the police. If on-site, notify Laboratory Protection if you need emergency assistance.
  3. Access proof of insurance (also available in your vehicle's accident kit).
  4. Do not sign paperwork or make statements about who was at fault.
  5. Collect witnesses' information and have them complete a Standard Form 94 (in the accident kit in your vehicle).
  6. Request a copy of the police report, if applicable, and take pictures of damage to vehicles or property.
  7. Contact Work Control if the vehicle is inoperable and needs to be towed.
  8. Commercial driver's license holders: Post-accident alcohol and drug testing may be required. Call 1-877-826-4628 from 6 a.m.–4:30 p.m. and 1-877-378-3462 from 4:30 p.m.–6 a.m.

Immediate Actions

  1. If on NREL property, stay on the roadway. If off-site, stop at the safest location possible, even if not on the pavement.
  2. Turn off the vehicle and remove ignition sources.
  3. Exit the vehicle and move to a safe location (out of traffic, upwind of spills/fire). DO NOT reenter the vehicle to get shipping documents.
  4. If at an NREL E85 fuel tank, push the red emergency shutoff button near the southwest corner of the tank, ensure the spill is stopped, and if safe to do so, deploy sorbent materials from the blue spill response barrel near the fire extinguisher.
  5. Report the event using the contact list above and by providing the following:
    • Nature of event (single/multiple vehicle accident, injuries, hazmat spill, fire, etc.)
    • Type of assistance needed (request the fire dept for all hazmat leaks, spills, or unknown condition of cargo)
    • Other helpful details (type/quantity of cargo, type and condition of vehicle, leaking fluids, etc.).
  6. Help the injured (if qualified and safe to do so).
  7. Stay to brief incoming responders.

After the Scene Is Stabilized

  1. Contact your line manager.
  2. Review Fleet Vehicle Accident Kit guidance.

Vehicle Inspection Checklist

Check the following before, during, and after each trip in a fleet vehicle. Report all necessary repairs and maintenance needs to the fleet manager. Contact the Work Control Center, 303-384-7344, if you can't reach the fleet manager.

You can use the Fleetio app to report inspection issues. Contact the fleet manager for more info, and see Fleetio instructions for guidance.

Note: Commercial motor vehicle drivers must follow driver vehicle inspection report pre-inspection steps.

Vehicle Exterior

Note any damage, including cracks, spots, leaks, or wear, and ensure proper fill levels for:

  • Body
  • Windows
  • Fluids
  • Tires.

Vehicle Interior

Ensure proper positioning, function, and visual clarity for the following:

  • Mirrors
  • Seat belts
  • Windows.

Once You Start Your Vehicle, Check the Following

  • Dashboard lights: If you see indicator lights (i.e. tire pressure, oil light check, engine light, etc.), contact Work Control immediately.
  • Brakes and parking brake
  • Fuel gauge
  • Windows
  • Windshield wipers
  • Lights.

When Driving, Report Any of the Following

  • Atypical noises or sounds and when they occur
  • Difficulty turning, navigating, or braking
  • Other atypical driving operations/systems/etc.

Vehicle Services and Maintenance

You can use a Wright Express (WEX) card to buy fleet vehicle fuel and maintenance items/services that cost less than $100. For services and preventive maintenance above this amount, you must use an approved vendor.

NREL assigns a WEX card to each fleet vehicle. Contact Fleet Management immediately to report a missing, stolen, or damaged WEX card, or to request vehicle modification services.

You can purchase the following at WEX-accepting locations:

  • Fuel (regular self-service unleaded or appropriate alternative fuel for vehicle type)
  • Car washes (one per month)
  • Coolant, oil, etc.
  • Windshield wiper fluid
  • Windshield wipers
  • Fuses
  • Gas caps
  • Lightbulb replacements.

Unauthorized purchases include:

  • Premium or full-service fueling
  • Excess car washes or details
  • Any purchases at parts stores, maps, air fresheners, tolls, or parking
  • Tires
  • Batteries.

There are three approved E85 fueling stations:

How To Refuel

Help prevent accidents by locating the red emergency shutoff button and fire extinguisher before you need them.

  1. Park near the tank, within reach of fuel dispensing hose, and turn off vehicle
  2. Swipe fleet fueling card in card reader and enter the following:
    • Vehicle's odometer reading
    • Vehicle license plate number (numeric values only; for license plate G62-2385G enter "622385" on card reader)
    • Pump number #1
  3. Remove nozzle from tank, pull lever toward you to on position, and fuel vehicle while remaining at tank
  4. When fueling stops, push lever forward to off position and return nozzle to holder.

Where To Charge

U.S. General Services Administration fleet electric vehicles can charge at charging stations located at:

  • The Research Support Facility loading dock between the A and B wings
  • Workplace charging at the South Table Mountain campus Parking Garage and the Flatirons Campus Building 251 parking lot (contact Fleet Management to get an account to charge)
  • CharePoint, EVBox, EVgo, evconnect, Flo and Greenlots/Shel using the RFID card attached to the keys (contact Fleet Management if RFID is missing).

Towing an Electric Vehicle

  • Make sure the battery is not at 0% before calling a two truck.
  • Put the vehicle into neutral.
  • Only use a flatbed tow truck for towing a disabled vehicle.
